Booking FAQs

What does the event cost?

Our usual ticket price is £30. However if you have added your email address to our email list by using our subscription form, or have attended one of Black & White Ball events and completed your details on the back of the ticket, you will be informed by email of special early bird offers which are sent out before the main bookings for the event go live.

Where and when can I buy tickets?

You can buy tickets now online via the secure server on this website (or by post by applying for a postal booking via our contact page) and can also buy tickets via the BIC and Pavilion box offices from 1st September.

When will I receive my tickets?

You can book your ticket early but we don't actually start sending physical tickets out until mid September as we've learned from experience that if we send them out early there is a chance people will misplace them. After September tickets are normally sent out in batches every two weeks and then at the beginning of every week from November. For bookings made after 22nd November your tickets will be held for you at the door to avoid mail delivery delays and losses.

I haven't received a reply to my email?

Please note that if you have previously contacted us via our old website using the prefixes team@, val@ or enquiries@ the email addresses have now changed. Please contact us again using the new form on our contact page HERE. Sorry for any inconvenience.

I don't seem to have received a booking confirmation?

Booking confirmations are sent out by our system for all purchases. However, sometimes they get diverted to your spam folder (so check there first) and sometimes they are deleted by your email manager without you seeing them - this is more often the case with Hotmail and Yahoo accounts. The general rule is that if money has been taken from your account, then your booking is confirmed. If you don't receive your tickets withing 10 days of booking please do contact us and we'll look into it for you.

How close to the event do you still send tickets out?

Generally speaking we send purchased tickets out right up until the week before the event, thereafter we will hold them in your name to collect on the door - just bring your booking confirmation with you so that we can check your booking against our database and door entry list. You can however (subject to availability) buy tickets from the BIC and Pavilion box offices, as well as our outlets in the Bournemouth and Poole area in the last week leading up to the event if you prefer.

Do you buy unwanted tickets back?

Sorry, no. No organizers of major events buy tickets back from people who have bought a ticket and who then for whatever reason cannot make the event. However, if the event is sold out there's a good chance that you can sell your ticket to someone else by putting a message on our Facebook page HERE

Terms & Conditions

Your booking is a contract with 'Utopia' and the lead name only. The lead name is responsible for advising their guests on all issues relating to the booking. Your ticket price includes entry to the event and free use of the attractions advertised but does not include drinks or food. Minimum age of entry is 17 - anyone under the age of 18 may not purchase alcohol or have alcohol purchased for them. No refunds will be given once your ticket(s) have been purchased.

Entry is by ticket only and last entry time is 11pm. You are liable for the cost of any damages or breakages incurred by you at the event. The management of the Black and White Balls and The Pavilion reserve the right to refuse any tickets purchased and admission to the event. Anyone attending this event agrees that they can be filmed and may appear in photographs and/or videos which may be used for promotional purposes and that they undertake not to make audio or video recordings of any of the event. We would advise customers that no refunds will be offered to customers who are refused entry or ejected from a venue on account of late arrival, being or appearing to be under age, declining to be searched, abusive, threatening, drunken or other anti-social behaviour (including smoking in no smoking areas), carrying offensive weapons or illegal substances.

In all arrangements involving third parties we act only as your agent and no liability of any kind whatsoever shall be attached to us in connection with or arising from such an arrangement with a third party.

We do not accept any liability for any losses or claims arising from any inability to access our website or any failure to complete a booking on the website. We do not accept liability for any indirect or consequential loss of any kind in contract, tort or otherwise arising out of the use of the website or the purchase of the tickets or other goods or services from us by whatever means. Whilst every care is taken to ensure tickets or other goods or services ordered by you arrive on time at the agreed destination, we do not accept liability for loss or damage that is caused by any event or circumstances beyond our reasonable control. To the fullest extent permitted by law we will not be responsible for loss, damage or injury to any person or their property howsoever caused.

By entering and using our website, you consent to the collection, use and retention of your personal information. Information about you including you name, address, telephone number and email address is recorded on a computer database controlled by us. The information is needed to process the transaction and fulfil your order and any subsequent problems or disputes. We may also use the information for internal administration and analysis by us and our associated companies. We do not sell, rent or trade your personal information to third parties for marketing purposes and all of your personal information will be treated in adherence to the prevailing law at the time of booking. We reserve the right to update or otherwise change the terms and conditions or amend the website at any time and without notice to you.

We will not accept any liability for tickets or other goods and services which have been ordered through our website using your credit/debit card by someone not authorised to do so. Our website uses industry standard encryption software and a secure server to ensure the safety of orders placed on our website. No one can access any information sent by you as long as it is sent using the secure pages. Therefore you must only send your credit/debit card details where asked for on our website and you must not send credit/debit card details by standard email.

The management reserves the right to change or adapt the attractions advertised for each event if necessary without notice either prior to the event or, if necessary, on the day/evening of the event itself. On this basis no ticket refunds can be claimed for tickets bought on the basis of attractions advertised.

In the case of any and all competitions run by the Black & White Balls or 3rd parties in conjunction with the Black and White Balls, the managements decision is final. No cash alternative is offered as an alternative to ticket prizes and any and all ticket awards are specific to the event detailed in the competition. Competition winners are however, allowed to transfer or sell ticket awards to a 3rd party if they so wish upon notification to the management of the Black & White Balls.

Covid policy and details relating to bookings under Covid rules and enforcement: Our policy regarding entry to this event will be based on whatever Government Guidance dictates at the time for events of this type and how the management at the BIC/Pavilion interpret and enforce them. This is naturally unknown at this time but in making a booking you understand that this is likely to require us checking your Covid 'Passport' on entry to ensure either double vaccination (plus maybe a booster by November) OR proof of a negative test within 48 hours of attendance (it may also be possible that rules at the time require both proof of full vaccination AND proof of a negative test). Please note that your unwillingness to accept whatever rules of entry are put in place at the time of the event, and which we will be required to enforce, are not grounds to claim a refund.

Cancellation due to Covid restrictions: If the rules regarding Covid restrictions change leading up to the event in such a way as to compromise, in our opinion, all of our enjoyment of the event we have agreed with The Pavilion that the event will not go ahead. Such restrictions would include the wearing of masks indoors or a return to social distancing which needless to say we could not accommodate on an event of this type. In this case we guarantee to refund your ticket cost (or offer to carry it forward to a future event). In addition, if you test positive prior to the event on production of evidence of a positive test we would be happy to refund your ticket purchase cost. Please note that all refunds are subject to a 5% fee to cover the cost of the transaction fees paid by us and to cover the cost of the administration of your refund. Please also note that this guarantee only applies to tickets bought directly via this website and not to tickets bought via BHLive or direct from the BIC and Pavilion box offices - please check their terms and conditions regarding this situation with them.

If any part of these conditions is unenforceable (including any provision in which we exclude our liability to you) the enforceability of any other part of these conditions will not be affected. No failure or delay on the part of any parties to these conditions relating to the exercise of any right, power, privilege or remedy provided under these conditions shall operate as a waiver of such right, power or remedy. These Terms and Conditions and our agreement with you under them shall be governed by English Law, and we agree to submit to the exclusive jurisdictions of the English Court for the determination of any dispute between us.
